Summary
Stanford University would like to redesign their Human Resource Management System in order to improve the experience for its 2,000+ employees.
Stanford's HRMS tool is used by all 2,000 employees to give a raise, make one-time payments, handle bonuses, rate and time changes, raise leave requests, request training, make retro payments, download employment letters (confirmation of employment and salary). There are various reporting functionalities and procurement modules which add to the complexity of the system, but this is out of scope for the redesign project.
IT and HR teams are working together to HR Administrators and Oracle developers to identify opportunities to:
Improve the employee experience
Increase employee engagement
Automate the key HR transactions.
Optimize HR processes
Solution
Stanford University is looking to move away them from an ad-hoc email and spreadsheet based process with lots of manual steps to a ‘streamlined & efficient online process.’
Problem
Stanford managers cannot communicate information in an intuitive platform, causing clerical errors by HR Specialists. The existing people soft system was developed to meet the needs of HR administrators and did not factor in the needs of end-user employees.
The landing page is outdated using old Oracle technology
The menu navigation and labels are incorrect.
Raising requests can be confusing without prior training and knowledge of HR policies.
Goals
Identify and design ways to improve the employee experience with HR.
Reduce the number of errors in HR processes
Streamline communication between parties for HR transactions
Create a useful and delightful experience for the two primary user types
My role
I have contributed within wireframe production, workshopping flows, and iterating processes.
I have worked within the design team, product owners, and developers to translate user requirements from both a functional and design perspective and worked collaboratively to validate and prioritize feature requirements and design a simplified HR actions portal.

IMPACT
With the completion of our design, Stanford started development for both Manager Center and the HR portal.
The positive reception and success of this application will leverage another round of funding to complete more modules and additional workflows as it is greatly supported by the users.
